    Job Summary:

    The Administrative Assistant will be responsible for performing a wide variety of administrative functions as required by the Regulatory Affairs, Medical and Clinical teams based in our Wayne, PA office.  There will be an opportunity to closely collaborate with colleagues and teams in our Waltham, MA office in service of the broader organization reporting to the Chief Medical Officer.  The role will report directly to the Vice President of Regulatory Affairs and will be primarily focused on support of senior leaders and their teams.


    Primary Responsibilities:


    • Directly supports teams in terms of calendar, travel, and expenses.
    • Coordinates meetings and required meeting materials.
    • Collects and prepares information for use in discussions/meetings of staff and outside individuals and stakeholders.
    • Works on problems of diverse scope in which analysis of data requires evaluation of identifiable factors. 
    • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. 
    • Handles details of a highly confidential and critical nature.
    • Maintains phone contacts and calendars, schedules and coordinates internal and external meetings as needed.
    • Supports the management of contracts, purchase orders and invoices.
    • Provides back-up coverage for receptionist as needed.





    Experiences and Qualifications:

    • Bachelor’s degree or equivalent and a minimum 5 years of directly related experience required.
    • Previous experience supporting senior level executives is preferred.
    • Pharmaceutical Industry experience is also preferred.
    • Well-organized individual able to coordinate meetings for senior leaders and functional teams, and to prioritize in a fast-paced operating environment.
    • Demonstrated ability to manage an external facing role with diplomacy and grace dealing with senior leaders in the biotechnology industries as well as individuals at regulatory agencies or governmental organizations.
    • Strong typing, editing, proofreading, grammar, and scheduling skills.
    • Ability to work with minimal supervision and apply good judgment.
    • Excellent critical thinking, research, and problem-solving skills.
    • Ability to maintain confidentiality of highly sensitive information, interactions, and situations.
    • Ability to prioritize, meet deadlines, and work on and complete multiple simultaneous projects and tasks.
    • Excellent verbal, written communication, organizational and strong interpersonal skills required.
    • Professional appearance and telephone manner.
    • Proficient in Microsoft Outlook, Word, Excel and PowerPoint.



    Work Environment:
