    Job Summary:


    The Senior Payroll Specialist is responsible for the accurate and timely processing of the Company’s payroll and ensuring compliance with all applicable regulations. This person will take the lead in administering stock compensation; required state & local registrations, related reporting, and will support the Company’s 401(k) plan compliance and will administer the stock compensation platform.

    The Senior Payroll Specialist is also expected to provide exceptional customer service to both internal and external stakeholders including employees, HR, other functional teams, federal and state tax authorities, Radius partners, and vendors (where applicable).


    Essential Responsibilities:

    • Responsible for the timely preparation and processing of a bi-weekly, multi-state payroll schedule and occasional off-cycle and bonus/commission payrolls.
    • Ensure accuracy of approved timesheets in UltiPro Time Management.
    • Prepare and Reconcile payroll prior to transmission and validate confirmed reports. Develop analytical review procedures to ensure accuracy.
    • Understand proper taxation of employer paid benefits
    • Process correct garnishment calculations and compliance
    • Perform compliances for unclaimed property payroll checks
    • Verification of and funding of 401K transfers.
    • Develop ad-hoc financial and operational reporting as needed
    • Process manual check and relocation metrics
    • Prepare payroll and payroll related journal entries.
    • Reconcile the balances for vacation accrual, other payroll accruals
    • Ensure the accuracy and timeliness of the processing of stock option grants, cancellations, and exercises, including the calculation of tax withholdings on exercises of non-qualified stock options and RSUs.
    • Assist with ESPP enrollment, withdrawals and purchases.
    • Ensure accuracy of data interfaces between systems and reconcile variances.
    • Assist in data collection, calculations, and required adjustments for W-2 and Affordable Care Act reporting.
    • Perform monthly payroll reconciliations and resolve any payroll discrepancies on a timely basis.
    • Maintain documentation supporting bi-weekly, quarterly, and year-end payroll reporting and accruals (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)
    • Partner with HR to ensure that the monthly insurance and benefits invoices are processed accurately and timely.
    • Respond to payroll-related inquiries from internal and external stakeholders (as required).
    • Participate in process improvements to ensure the seamless integration/reconciliation of UltiPro with other systems. Participate in the documentation and assessment of internal controls surrounding payroll. Obtain an understanding of controls which reside in human resources as well as payroll. Ensure effective communication of documentation required by HR to provide evidence of review/authorization.   
    • Assist Payroll Manager with 401K Audit
    • Prepare Monopolistic state’s worker’s compensation quarterly reports and true up
    • Assist Payroll Manager with annual compliance reporting/forms such as 5500s, W-2, 1095, 3921, 3922.


    Experience and Qualifications:

    • College degree in Accounting or equivalent experience required.
    • Knowledge of UltiPro required.
    • Fundamental Payroll Certification designation is desirable.
    • Must possess detail knowledge of payroll, tax and equity concepts.
    • A minimum of five years of payroll and equity processing is required.
    • The ability to keep information confidential and communicate with the utmost of discretion.
    • The capacity to meet critical deadlines while managing multiple priorities in a fast pace team environment.
    • Ability to independently plan and organize one’s own activities.
    • Working experience of payroll tax at the federal, state, and local levels is required.
    • Proficient with Microsoft products such as Outlook, Word, Excel.
    • Must be a team player and highly organized.
    • Knowledge of Blackline and AX is desirable.
    • Demonstrates the ability to bring recurring issues to manager/supervisor’s attention and assist in resolving problems.



    Work Environment:

    While performing the duties of this position, the employee is regularly required to use hands to type, handle paperwork and sort, file or manipulate documents.  The employee is occasionally required to stand and walk.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. 


    Specific vision abilities required by this position include close vision, distance vision, color vision peripheral vision, depth perception and ability to adjust focus.
